Operations and Administration Officer [Portugal]


 

ME DKM Solutions, Unipersoal LDA, based in Lisbon, is a partner company of Middle East Consulting Solutions (MECS), a reputable research and consultancy firm that works in the Middle East and North Africa regions and other emerging markets.

ME DKM is seeking a talented Operations and Administration Officer (Portuguese Nationals only) to work with a multicultural international team at its office in Lisbon.

The officer will work closely with the Business Manager, Finance Manager, and General Director to provide legal, admin, logistic, procurement, and recruitment support to the country office. The Operation and Administration Officer will be responsible to ensure smooth operations, compliance with Portuguese laws and regulations, and efficient use of resources, in addition to supporting the communications with lawyers, legal accountants, and official governmental organizations, and lead on logistics and procurement processes.

Legal and Operation:

  • Provide legal support to the country office, including drafting and reviewing legal documents, contracts, and agreements.
  • Maintain an up-to-date knowledge of Portuguese laws and regulations.
  • Ensure compliance with legal requirements related to the operation of the office in Portugal.
  • Support the company staff in their Portuguese legal documentation.
  • Manage the country’s operations, including team inductions and guides.
  • Support the coordination with financial, legal, tax, and administrative entities related to team members’ visa and residency processes.
  • Design and implement office policies by establishing local standards and procedures.

Administrative:

  • Arrange travel arrangements for staff, including booking flights, accommodation, and transportation.
  • Manage the logistics of the office in Portugal.
  • Support the team in finding suitable housing, including communication and formalities with landlords, submitting offers, negotiations, and contracts.
  • Lead on oral and written translation from English to Portuguese and from Portuguese to English.

Recruitment:

  • In coordination with the operations team, lead the recruitment processes, including advertising job vacancies, screening resumes, scheduling interviews, negotiations, and following up with candidates and legal accountants.
  • Assist with onboarding new staff (Portuguese and International) members and completing all required documentation.

Required qualifications and skills:

  • Fluency in Portuguese as a first language.
  • Fluency in English (Reading, Writing, and Speaking).
  • 2-3 years of experience working with international and multinational companies, within similar roles.
  • Proven sound understanding of the operational and legal environment in Portugal, Portuguese laws, and regulations for business consulting companies.
  • Bachelor's in business administration, law, or a related/relevant field.
  • Excellent communication and organizational skills.
  • Proficient in Microsoft Office.

This is a full-time job with a one-year contract, including a two-month probation period. Upon appraisal, the contract can be extended to a period of additional two years.
